Description

Hennebery Eddy Architects seeks a detail-oriented Project Coordinator for our Bend office. This position will provide administrative and event coordination of the office and work directly with architectural teams, supporting them by executing a wide variety of administrative tasks. This role is part of the larger firm-wide administrative team which all work to support each other as necessary. This position requires the ability to work in a fast-paced environment, multi-task, meet aggressive deadlines, and may require working overtime during peak periods. This position requires attendance in the Bend office Monday through Friday.

Responsibilities

Project Coordination

  • General project team support including proofreading, reproduction, scanning, filing, coordination, etc.
  • Schedule project meetings and arrange meeting logistics.
  • Coordinate meeting materials, assist with meeting set up, and translate meeting minutes.
  • Construction Administration support, including maintaining submittal and contractor requests for information (RFI) logs and tracking.
  • Prepare and format letters, proposals, specifications, and other documents.
  • Excel processing and formatting of spreadsheets, tracking logs, and budgets.
  • Tracking task completion.
  • Project accounting including vendor and client invoicing, financial projections, and tracking project standing for specified project teams.
  • Coordinate and manage travel arrangements for specified project teams.

Office Administration

  • Phone and guest reception.
  • Office hospitality including ordering and stocking supplies, organizing kitchen area, tidying meeting areas, setting up and breaking down meetings.
  • Manage office-wide event calendar.
  • General office maintenance coordination with vendors and building management.
  • Responsible for office appearance.
  • Assist with new hire onboarding as needed.
  • Assist with conference room hardware support, workstation set up, and troubleshooting as needed.
  • Provide administrative support to managing principals.

Qualifications

  • Minimum of one year of relevant experience in a similar role and/or experience with an architecture firm preferred.
  • Bachelor’s degree preferred.
  • Attention to accuracy and detail. Responsible for the overall quality of work produced.
  • Superior organizational skills.
  • Self-starter with diligent follow through.
  • Demonstrated customer service-oriented mindset.
  • Able to work both independently and as part of a team.
  • Strong work ethic, ability to multi-task, and work under deadline pressure.
  • Excellent oral and written communication skills.
  • Proficiency in Microsoft Outlook, Word, and Excel required.
  • Proficiency in Adobe InDesign, Bluebeam, Smartsheet, and Microsoft Project preferred.
  • Minimum of two references preferred.
