We are seeking a passionate and mission-driven Volunteer Coordinator and Administrative Assistant to help expand the impact of Shepherd’s House Ministries across all sites and advance this life-changing work.
The Volunteer Coordinator and Administrative Assistant serves as a key community-facing representative for Shepherd’s House Ministries, creating a welcoming and organized experience for volunteers, donors, and community partners. This role manages the full volunteer lifecycle while building strong relationships across Central Oregon. The position also provides administrative and operational support for fundraising efforts, ensuring accurate data, timely communication, and coordination of events and outreach. Working collaboratively across departments, this role supports organizational strategy while embodying professionalism, compassion, confidentiality, and commitment to service and stewardship.

- Collaborate in partnership with leadership, advisors and coworkers to contribute to and carry out the Development team’s strategy and goals.
Work Expectations:
- Provide administrative and operational support to the Development team, including scheduling, communications, and document preparation.
- Maintain accurate donor and volunteer records, ensuring data integrity, organization, and compliance.
- Support donor engagement through acknowledgments, follow-ups, and coordination of outreach and fundraising efforts.
- Assist with planning and execution of events, including logistics, materials, and communication.
- Manage the full volunteer lifecycle, including recruitment, onboarding, training, and ongoing engagement.
- Serve as the primary point of contact for volunteers, addressing questions, support needs, and issue resolution.
- Ensure volunteer compliance with organizational policies, safety standards, and role expectations.
- Track and report on donor and volunteer activity to support engagement, planning, and program improvement.
- Collaborate across departments and sites to effectively integrate and support volunteers in operations.
- Coordinate volunteer programs, schedules, trainings, and recognition efforts while managing multiple priorities with professionalism and compassion.

Qualifications:
Education & Experience:
- Associate’s or Bachelor’s degree in Business Administration, Communications, Nonprofit Management, or related field preferred (experience may substitute).
- 3 – 5+ years of executive administrative support experience required.
- 2+ years of volunteer coordinator experience preferred.
- Experience supporting C-suite or senior executives strongly preferred.
- Experience in nonprofit, ministry, healthcare, housing, or human services environments preferred.
- Must successfully pass and maintain an acceptable background check(s) in accordance with Shepherd’s House Ministries and applicable laws.
- Must possess a valid driver’s license and maintain a driving record acceptable to Shepherd’s House Ministries.

- Able and willing to interact with shelter guests in a compassionate and respectful manner.

- Able to maintain a positive, professional, Christ-like manner with all donors, staff, guests, and volunteers.
Working Conditions:
- Work is primarily performed in an office environment, with occasional outdoor work and after-hours commitments for events or meetings.
- Ability to sit for extended periods and perform computer-based and administrative tasks.
- Ability to stand and walk for moderate periods during trainings, volunteer activities, and events.
- Ability to communicate effectively in person, by phone, and electronically, and travel between multiple Central Oregon locations.
- Ability to lift and carry up to 35 pounds and operate standard office equipment with sufficient visual, auditory, and manual dexterity.
