Job Summary

Oregon State University Cascades is seeking a Campus Visit Coordinator. This is a full-time/part-time (1.00 FTE), 12-month, professional faculty position.

This position is located in Bend, Oregon.

The Campus Visit Coordinator provides the first point of contact for prospective students and family members visiting the OSU-Cascades campus in Bend. This position runs the daily operations of the Office of Admissions Welcome Center and supervises the admissions TOUR Ambassador team. This position will be required to interface extensively with prospective students both on and off campus. The Campus Visit Coordinator shall be able to explain OSU policies, admissions application and process, financial aid and scholarship application guidelines to prospective students, while identifying systemic barriers faced by students and working with the Director and Assistant Director of Admissions for resolution. The incumbent provides a broad source of information regarding OSU admissions, the transfer process, and student support services for students who intend to eventually enroll at OSU-Cascades.

This position manages the daily operations of the campus Welcome Center. This includes overseeing visit coordination for small and large groups, leading the planning and execution for on campus preview days and admitted student events, and managing incoming phone, text and email communication with prospective students. The Campus Visit Coordinator serves as supervisor of 10-15 student TOUR Ambassadors in the Welcome Center’s daily operation while hosting a robust,
welcoming and recruitment focused campus visit experience. The OSU-Cascades campus tour functions as a vital tool in the obtainment of various institutional goals.

Additionally, this position may manage a recruitment territory to support enrollment growth at OSU-Cascades and OSU in Corvallis. This may include regular outreach and follow-up with prospective students and up to one week of recruitment travel a year. The individual may be responsible for assisting students in assigned territory with navigating the application
process, answering questions and assisting with enrollment steps. This position will also help coordinate START new student orientation at OSU-Cascades. This will include collaborating with Enrollment Services, Academic Advising, Student Life and other campus partners to create and update content for virtual experiences and in-person event planning.

OSU-Cascades, located in Bend, Oregon, is a campus of Oregon State University. Established in 2001, the university currently enrolls more than 1,300 students in bachelor’s and master’s degree programs. The campus expanded to a four-year university in 2015, opened its 10-acre campus in fall 2016. The Oregon legislature approved additional funding in 2017 and 2018 for continued campus expansion, which is currently in progress. The campus has ambitious enrollment goals and is engaged in building a culturally diverse and community-centric educational environment.

Key Responsibilities

65% Manages and oversees daily campus tour program and student staff.
  • Collaborates with Assistant Director of Admissions on the development and execution of exemplary campus tour initiatives including daily campus visits, group visits, six to ten open house programs and the hiring and training of 10-15 student TOUR Ambassadors. Requires abilities to effectively manage student staff for tour operation and guest experience outcomes, as well as integrate campus tour experience into wider recruitment strategies, objectives, and goals. Must interact with prospective students and their guests in a courteous, pleasant, tactful and professional manner. Answers general questions of broad university-scope, including standards and deadlines for admission, housing, financial aid and scholarships. Requires a deep working knowledge of admission application process and requirements as well as institutional, state, and national trends in college admissions counseling, and the ability to explain, relay and rationalize
  • variables in admission decisions.
  • Partner with campus recruitment stakeholders ensuring community support and integration in the campus visit guest experience. Collaborates frequently with campus partners to train student TOUR Ambassadors and coordinate participation in visit experiences.
10% Assessment & Budget
  • Maintains statistics of daily visitors to OSU-Cascades campus. Compiles information into monthly, quarterly and annual reports. Works with the Director of Admissions and admissions team to assess efforts and identify and implement any changes necessary because of program assessments and evaluations. Provide feedback regarding campus visitor trend demographics and student outcomes. Review academic regulations and institutional policies and procedures for effective, equitable efficiency for the success of all student types. Manages the visits budget and provides feedback to the Assistant Director of Admissions.
10% Admissions Advising
  • Use knowledge of OSU policies, timelines, admissions criteria, registration, credit articulation tools and financial aid and scholarship application procedures to advise prospective students on campus and in assigned territory, and to help them identify appropriate resources.
  • Represents OSU and OSU-Cascades/Office of Admissions at college fairs, high school visits, multicultural events, community colleges or other activities as assigned in territory and other areas as needed.
  • Develops and maintains relationships on behalf of the university with high school and community college personnel, prospective students and their families and other influencers.
  • Meets with prospective students and families off campus. Must interact with prospective students and families in a courteous, pleasant, tactful and professional manner. Answers general questions of broad university-scope; including standards and deadlines for admission, housing, financial aid, and scholarships. Requires a deep working knowledge of admission application process and requirements as well as institutional, state and national trends in college admissions counseling, and the ability to explain, relay and rationalize variables in admission decisions.
  • Must understand the State and Federal record keeping policies regarding official and unofficial documents. Adheres to the Family Educational Rights and Privacy Act (FERPA) when interacting with prospective students and families.
  • ability to positively interact with a diverse population in a courteous and professional manner. Provides support in strengthening relationships and partnerships with community colleges and other stakeholders in order to help the institution reach transfer enrollment goals.
5% START new student orientation support
  • Assist in the coordination of STARTOSU-Cascades new student orientation. Work closely with Academic Advising, Student Life and Enrollment Services to plan all aspects of START. Serve as liaison between START working group and Enrollment Management IT on updating and managing all technical needs that support the online components of orientation. Provide event coordination support for in-person orientation days.
5% Read applications and transcripts.
  • Participate in answering the daily Admissions e-mail correspondence. Provide detailed responses to queries regarding admission requirements and status, major/program requirements, services available and career and advising assistance.
5% Other duties as assigned.

What you will need

  • Bachelor’s degree from a regionally accredited institution in a relevant discipline.
  • Strong interpersonal skills that allow the person in the position to collaborate with a diverse population.
  • One year professional or related volunteer experience including event planning. 2-3 years of relevant student work or volunteer experience may meet this requirement.
  • One year of professional experience related to customer service, public speaking and/or public contact. 2-3 years of student experience may meet this requirement.
  • Ability to communicate effectively verbally in front of small and large groups and to provide workshops, trainings and outreach programs.
  • Excellent written and oral communication skills.
  • Strong attention to detail.
  • Ability to think clearly under pressure and to work with individuals from various cultures, including the ability to handle difficult inter-personal situations with tact and diplomacy.
  • Must be able to lift 50 pounds or more.
  • Ability to travel and represent the University.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
