What we are looking for:

As the Administrative Specialist 1 you will, provide administrative support and office coordination for Department programs within Central Oregon District. Primary responsibilities include:

  • Administrative support for the Fire and Forest Resources Program, fire finance and auditing support, payroll entry, accounts payable, expense tracking, employee documentation, file system management, and data entry into various Department computer programs.
  • Closely coordinate with other field and Salem staff to provide guidance and support needed to meet Departmental objectives, agency missions, and legal mandates.
  • Ensure efficient flow of information related to Federal, State, Department, and District rules, policies, and procedures and incorporate the information into daily working situations.
  • Assist the public and Cooperators in support of Department activities.
  • Provide information to, and answers questions from, the public regarding Department programs and procedures.
  • This position may assist the finance effort on COD fires, including preparing fire suppression cost payments, as well as assisting a team established to audit Unit, District, EFC, and FEMA fire suppression costs.

Minimum Qualifications

Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data.

OR

An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data.

OR

An equivalent combination of education and experience.

Note:  Driver’s License Check – This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout.  If you have an Oregon driver’s license, a record check will be conducted on the top candidate to ensure a valid license and acceptable driving record.

Desired Skills:

  • Familiarity with forestry terms and procedures.
  • Ability to aid customers with date entry.
  • Requires accuracy and attention to detail.
  • Ability to work with multiple stakeholders including state, local, and federal agencies, and private entities.
  • Requires proficient use of computer and ability to learn and use multiple software programs.
  • Possess word processing, spreadsheet, and database skills.
  • Ability to communicate effectively, orally and in writing.
  • Ability to work with minimal or no supervision.
  • Ability to explain decisions and resolve problems.
  • Experience reviewing invoices for accuracy, coding, and funding.
