ABOUT HANAI

Hanai is a creative gathering space in Bend with a focus on cultivating authentic connection within the community. Hanai is both a non-profit and an event space. We are seeking a new person to join our small but growing team! Our ideal candidate is a self-starter, thinks outside the box, passionate about wellness, extremely organized, tech savvy and a quick learner.

Pay dependent on qualifications $24-$26 hourly.

SUMMARY

Center Coordinator (CC) is the first point of contact for the community and serves as on-site welcome ambassador for Hanai. The CC is responsible for the day-to-day oversight, maintaining the space, and managing Hanai’s communication with the community. Additionally, the CC is responsible for helping clients understand how to properly use the space and respecting Hanai’s pillars.

KEY RESPONSIBILITIES

Reception

  • Serve as facility host to welcome people to Hanai and optimize community experience.
  • Answer phone calls and respond to voicemails.
  • Interface with IT service providers to manage the IT needs of the organization. IT includes computers, internet, phones, mobile devices and other related activities.
  • Order supplies

Space Management

  • Monitor the facility (building and grounds) to ensure that it remains safe, secure, and well-maintained.
  • Schedule and log periodic maintenance and repairs
  • Perform minor organizational tasks to keep the building in orderly manner, including inventory
  • Light housekeeping between events including tasks such as dusting, sweeping, wiping down counters, putting dishes away, organizing furniture, etc.

Rental and Client Management

  • Manage the Hanai calendar, including making appointments, scheduling meetings, tours and prioritizing the most sensitive matters.
  • Coordinate use of spaces with clients for both public and private events and weddings.
  • Book and manage events using event software (Planning Pod).
  • Generate contracts and invoices for bookings

Administrative Support

  • Provide administrative assistance to Hanai’s founder, such as writing and editing emails, drafting memos, preparing communications, sending weekly recaps, and sending reminders.
  • Maintaining comprehensive and accurate records of all meetings and communications.
  • Complete minor bookkeeping tasks such as transfers and reviewing receipts.
  • Manage projects and tasks in Asana

Communications

  • Create and manage dissemination of Hanai newsletters and blog.
  • Update Community Board
  • Support Director with other communications and social media needs as needed.

QUALIFICATIONS

Education and experience

  • Bachelor’s degree preferred; experience in lieu of degree will be considered.
  • Previous work experience: Administrative, scheduling, event coordination, hospitality
  • Well versed with a variety of tech skills and ability to learn our internal software tools.
  • Required (software or something similar): Proficient in Google Workplace and Microsoft Word, Working knowledge in Project Management Tools (ex: Asana), Adobe Suite, Canva and Event Management Software (ex: Planning Pod)
  • Preferred: Venmo and Stripe, Experience working with CMS platforms, such as WordPress.

WORKING CONDITIONS AND SCHEDULE

  • Full Time Role (40 hours)
  • Ability to move or carry equipment, furniture items or objects within and around Hanai facilities.
  • Working on site at Hanai 5 days per week. Schedule Example: Wednesday – Sunday, 11am – 8pm with flexibility based on events. Schedules will be balanced and discussed with the Director of Hanai. *Note, if you have a minor conflict with the potential schedule, please apply anyway and we can discuss.
