Job purpose:

The Business Director implements and maintains all fiscal matters, overall site operations, manages human resources and other assigned programs and services in conformance to Desert Sky Montessori’s operational and administrative objects, including those of Bend La Pine School District and other State objectives. The Business Director plays an important role in the school’s short and long-term success.


Prior related experience with increasing levels of administrative responsibility. Skills to manage personnel and services, communicate effectively and problem solve. Knowledge of best business and accounting practices, district policies.

The ideal candidate will enjoy working with a diverse array of people while being an expert in a variety of administrative tasks. They should feel enthusiastic about contributing to an environment that fosters community, communication, and educational excellence. They will be friendly, flexible, and task oriented as they seek to aid in the daily administrative processes necessary for a smoothly functioning school. Previous experience in a school administrative setting is preferred, though excellent candidates without this experience will be considered.

Minimum Educational Requirements:

  • Possesses a degree in a related field or equivalent experience
  • Have or be willing to receive some Montessori training

Work Hours:

School Year (August through June) Monday to Friday on all school days: hours are 7:30 AM to 4:00 PM

Key responsibilities:

Financial Management and Compliance:

  • Ensures revenue, enrollment and expense targets are met
  • Ensures that facility and operational systems are set up, operational, and effective
  • Steward of non-profit and school assets
  • Oversees compliance to federal, state, local and contractual obligations and ensures that requirements are met
  • Ensures all banking processes, reconciliation, loans, payables and receivables, payroll targets are met
  • Ensures all tax reporting, auditing, annual budget, and insurance targets are met
  • Works with auditors to ensure independent validation of Desert Sky Montessori’s financial health
  • Works with contracted accountant throughout the year
  • Oversees all purchasing, accounts payable and receivables
  • Approves all expenditures and ensures compliance with board approved budget
  • Oversees the risk management program in coordination with the Head of School for the purpose of reducing or eliminating situations that may negatively impact finances. Implements assigned services (i.e. Financial, Food Services, etc.) for the purpose of conforming to district and state objectives
  • Oversees contract management and audit requirements
  • Evaluates services for the purpose of carrying out and achieving objectives within area of responsibility.
  • Conducts periodic meetings with the Treasurer and President of the board and the Head of School regarding budget implementation
  • Responsible for pre-authorization of expenditures and purchase order compliance

Human Resources:

  • Record keeping of personal data
  • Managing employee compensation system and employee benefit program

Relationship, Management and Key Competencies:

  • Build/maintain relationships both internal and external for positive outcomes
  • Inspires groups of individuals to work together to achieve a common purpose, promotes a culture of open communication and respect

Other Job Functions:

  • Develops proposals, budgets, and grants for the purpose of meeting the school’s goals
  • Oversees grants and capital campaigns in coordination with the HOS
  • Oversees external documentation that would be viewed by the general public, fundraising, and public relations/community outreach
  • Develops proposals, budgets and grants for the purpose of meeting school goals
  • Grant accounting and tracking of expenditures
  • Coordinate and schedule school activities, in conjunction with Head of School and FODS
  • Coordinate some school events, in conjunction with Head of School, board committees and FODS
  • Oversee Office Manager and Janitorial Services
  • Inventory and purchasing as related to food services on campus
  • PO approval in conjunction with Head of School and ordering of supplies
  • Student files including CUM, health and enrollment
  • Staff/ substitute on boarding and employment records
  • Coordinate substitutes
  • Student contact spreadsheets including class lists
  • Staff documents/OneDrive/ shared folders
  • Monitor Parent Liaison email accounts
  • Office contact and onsite management in conjunction with Head of School
  • Facilities
  • Other duties assigned by the Head of School


  • Prior related experience with increasing levels of administrative responsibility

  • Knowledge of best business and accounting practices, curriculum, education code, district policies
  • Knowledge of PERS system
  • Abilities to sit for prolonged periods, maintain and verify completeness of records, meet schedules and deadlines, communicate with persons with varied cultural and educational backgrounds, communicate in oral and written form
  • Significant physical abilities include reaching/handling/fingering, talking/hearing conversations, visual acuity/depth perception/visual accommodation
  • High School diploma required and some college and/or minimum 5 years commensurate experience
  • First Aid, CPR, AED and Bloodborne certification
  • Oregon Fingerprint and Criminal Check clearance
  • Code of Conduct and Ethics Agreement signatory upon employment
  • Excellent organizational, planning and implementation skills
  • Knowledge of general office equipment
  • Be proficient in basic office computer skills, including but not limited to Microsoft word, Excel, Google Docs and QuickBooks
  • Experience with Synergy
  • Demonstrates the capacity for independent work, flexibility, and the capacity to handle multiple demands
  • Have the ability to conform to an established work schedule
  • Have effective interpersonal skills

Physical Requirements:

Must have the ability to:

  • Lift up to 40 lbs.
  • Repetitive bending, stretching, and stooping.
  • Have mobility required to work with and ensure the safety of children.
