Summary

PURPOSE OF POSITION:

Under the general supervision of the Finance Manager, the Administrative Support Specialist provides complex professional, technical and project management support to aid in the maintenance and development of the CCFR financial and administrative functions including purchasing accounts payable, staffing, time keeping, assist in payroll processing and assisting with a variety of human resource and administrative related activities.

ESSENTIAL JOB FUNCTIONS:

Primary Duties:

  • Assist with scheduling, accurate time keeping and payroll data collection.
  • Assist with payroll processing and reporting.
  • Assist with accurate and efficient oversight of accounts payable.
  • Assist with accurate and efficient reporting of accounts receivable
  • Provides coordination, logistical and project management support for operational functions including data collection, record keeping and purchasing.
  • Provides coordination and oversight of human resource activities including on-boarding and off-boarding employees, employee benefit management, reporting and record keeping.
  • Provides coordination and oversight of public meeting scheduling, record keeping and advertisement.

Additional Duties:

Assists the Fire Chief, Division Chiefs and Finance Manager with administrative project support, coordination and record keeping.  The Administrative Support Specialist will maintain confidentiality related to collective bargaining, employee performance as well HIPAA related information.  May occasionally assist with the ambulance billing process.

AUXILIARY JOB FUNCTIONS:

Communicates in public settings and may occasionally represent the District in meetings as requested.  Participates in and teaches various on the job training programs, and other related duties as assigned.

Qualifications

PHYSICAL DEMANDS AND ABLITY OF THE POSITION:

Physical Demands:

  • Exert up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently, to lift, carry, push, pull or otherwise move objects.
  • Maintain sustained concentration on computer screens and use keyboards and a variety of peripherals.
  • Work is generally performed in an office setting with travel required to off-site locations.
  • Effectively communicates with others verbally and in writing, including by phone, email or in person.
  • Understand, remember, communicate and apply complex oral and/or written instructions and factual information.
  • Remain in a stationary position (sitting or standing) for extended periods of time, occasionally stand, walk, stoop or kneel for extended periods of time.

JOB QUALIFICATION REQUIREMENTS:

Requirements/Certification/Licenses:

Mandatory Education, Experience and Skills:

  • Equivalent combination of education and experience that provides the required knowledge, skills and abilities as outlined in this job description.
  • Associate’s Degree or equivalent from a two-year college or technical school
  • Two years of experience in a public business office or similar setting and/performing similar tasks.
  • Working knowledge of software programs such as Microsoft Office including Word, Outlook, Excel, Power Point and other interactive computer programs as well as working with common office equipment.
  • Thorough knowledge and experience with pubic financial software including programs such as Caselle or similar financial and data processing programs.
  • Demonstrate a high attention to detail.
  • Accurate input, monitoring and storage of data and information.
  • Researching, analyzing, interpreting and reporting of information.
  • Manage a high volume of tasks at one time, including organizing and prioritizing own work and the work of others.
  • Work independently with minimum direction while also working as part of a team and collaborating with others.

Desirable Education and Experience:

  • Bachelor’s Degree
  • Five years of experience with public finance related duties and human resource experience in a similar or larger size organization.

Salary and Benefits

Base Minimum: $32.51
Base Maximum: $40.51
Pay Type: Per Hour
  • $32.51 – $40.51 per hour dependent on experience
