Position Summary

As the first point of contact for most clients, the Receptionist/Administrative Assistant will be responsible for assisting individuals who call and/or enter our Senior Services Center. The position is dedicated to ensuring that all guests and clients are guided to the appropriate resources and information. To excel in this role, one must possess exceptional communication skills, a compassionate and empathetic demeanor, and a deep commitment to the well-being of our senior community. The ability to thrive in a dynamic, fast-paced environment with frequent interruptions is also essential.

This position is part of the Client Services team and also works closely with other departments within the organization to perform a variety of administrative tasks. The Receptionist/Administrative Assistant reports directly to the Information and Resource Supervisor. This is a full time, in-person position located in Bend, Oregon.

Hours

The schedule is Monday-Friday, 8:00am-4:30pm.

Compensation

The salary for this position is between $19-$22 per hour depending on education and experience. Council on Aging offers a complete benefits package, including health, dental and vision care; a 403(B) retirement plan, generous paid time off, an Employee Assistance Program, and more.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Reception Responsibilities

  • Answering and routing phone calls to the appropriate person
  • Responding to basic information & referral calls
  • Welcoming and assisting walk-ins with their resource questions
  • Maintaining call and walk-in logs
  • Organizing the resource library within the Senior Resource Center
  • Training and supervising volunteer receptionists

Administrative Responsibilities

  • Responsible for maintaining client spreadsheets
  • Mailing out the monthly Meals on Wheels statements to clients and distributing to certain sites
  • Managing the Library Corner distribution
  • Managing staff birthday recognition (cards and gift cards)
  • Performing other duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • High school diploma or two or more years of office-related experience and/or training; or equivalent combination of education and experience; some college is desirable
  • Bilingual strongly preferred
  • Proficient in MS Office, data entry, and basic office equipment
  • Excellent interpersonal skills
  • Proficient in customer service and problem resolution
  • Excellent written and oral communication skills
  • Excellent organizational, planning, and prioritization skills
  • Efficiency and flexibility in performing detailed tasks
  • Ability to work in a fast-paced environment with frequent interruptions, changing priorities and deadlines.
