Primary Purpose

The Foundation Accountant is responsible for the implementation, maintenance, and management of all financial and accounting services to the COCC Foundation. The COCC Foundation is a 501©3 organization comprised of assets totaling approximately $33M. The Foundation Accountant works closely with the Foundation Executive Director, Finance & Audit Committee, Foundation Board of Trustees, external CPA firm, and other regulatory agencies to report financial information and comply with generally accepted accounting principles, non-profit rules and regulations, and to further the mission of the Foundation.

Essential Duties and Responsibilities

Financial Planning, Management, Budgeting, and Reporting:
  • Maintain the general ledger accounting system utilizing Ellucian Banner-Finance software. Responsible for accounts receivable, payables, and importing and reconciling the subsidiary ledgers to the general ledger.
  • Prepare and record monthly journal entries. Reconcile balance sheet accounts and net fund balances.
  • Manage revenue in accordance with use restrictions stipulated by donors and/or grants.
  • Establish, maintain, and reconcile cash and cash equivalents accounts at multiple financial institutions in order to manage cash flow operating needs, maximize interest earnings on short-term investments, and maintain FDIC insurance or other collateral coverage.
  • Produce financial reports for Management, Finance & Audit Committee, and Foundation Board of Trustees which disclose the COCC Foundation’s financial position and aid in decision making. Reports include consolidated Statement of Financial Position, Statement of Activities, and other reports which display various operating and investment activities.
  • In conjunction with the Foundation’s Executive Director, assist with the creation, oversight, and reporting of the annual operating budget. Track and report actual vs budget variance analysis.
  • Work closely with the Foundation’s Finance & Audit Committee to administer the Foundation’s endowment investment portfolio at Commonfund. Track market values for 80+ individual endowments totaling approximately $33M. Ensure compliance with donor endowment agreements and Foundation Investment Policy Statement.
  • Compile and manage the Foundation’s annual scholarship budget, comprised of over 175 separate scholarship awards totaling over $2M annually, utilizing various data software resources including Blackbaud Raiser’s Edge, Ellucian/Banner-Finance, and Excel. Work closely with Director of Foundation Programs and COCC Financial Aid Dept to communicate available resources for awarding.
  • In conjunction with Director of Foundation Programs, track available funds and resources available for COCC programs. Work with College departments to facilitate the transfer of funds.
  • Plan, compile, and manage workpapers, through consolidated financial statements, for Foundation’s annual audit and tax returns. Serve as staff liaison to external CPA firm. Review prepared returns prior to authorized signing and filing.
Administrative:
  • In conjunction with Foundation Executive Director, develop and implement internal control procedures to help protect Foundation assets from fraud and error.
  • Complete general liability insurance applications for review by Foundation Executive Director.
  • Provide fiscal oversight for cashiering activities at fund raising events. Provide support to Foundation staff at various community events.
  • Provide administrative office support and assist other office staff, as needed.
  • Serve on College committees.

Knowledge, Skills and Abilities

Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the duties and responsibilities of the job, with or without reasonable accommodation, using some other combination of skills and abilities. The individual is expected to follow College work rules and policies.
  • Possess solid knowledge of accounting principles, fund accounting, and general ledger management.
  • Demonstrated track record of managing multiple priorities and meeting deadlines. Self-starter with the ability to exercise independent judgement.
  • Ability to communicate effectively, both orally and in writing, using the English language without the use of an interpreter.
  • Proficient in the use of a computer, with experience in Microsoft Office, Excel, and general ledger accounting software. Knowledge of Ellucian-Banner (Finance module), Blackbaud Raisers Edge donor database beneficial.
  • Ability to work with diverse academic cultural and ethnic backgrounds of faculty and staff, students and community members.
  • Knowledge of Generally Accepted Accounting Principles (GAAP).
  • Ability to effectively manage general ledger accounting systems.
  • Ability to import and export data and to develop spreadsheets in Excel.
  • Strong organizational skills, ability to meet deadlines, and ability to work independently over a wide range of accounting/finance functions.
  • Must be able to demonstrate essential job functions outlined above.

Ergonomic Requirements

Working hours are typically Monday through Friday, 8 am – 5 pm (); occasional evening and weekend hours required. Expect to work between academic terms. Computer screen work 50 percent of the time. Work is performed in an ordinary office, mostly sitting and some lifting under ten pounds. All individuals are required to be able to perform the essential functions with or without reasonable accommodation.
Remote work eligible employees agree to have a safe and suitable workspace prior to beginning remote work. This includes a space free of obvious safety hazards (to include but are not limited to tripping hazards, air quality/ventilation, smoke detector, safe exit paths or electrical hazards), as well as a space that has been self-reviewed for office ergonomics. The remote work employee is responsible for maintaining the space in a safe condition.

Minimum Requirements

Education
  • Bachelor’s Degree in Accounting, Finance, or related field.
Experience
  • Three years’ experience working with an enterprise-wide accounting system in a medium to large organization.

Preferred Qualifications

Experience
  • Five years’ experience working with an enterprise-wide accounting system in a medium to large organization.
  • State or local government agency, or experience in higher education which demonstrates fund accounting experience.
  • Experience using Ellucian Banner-Finance.
