The City of Bend Police Department is actively recruiting for one (1) full-time Police Fleet Logistics Coordinator. This position will oversee the Bend Police Department Fleet. This position is a great opportunity for an applicant who has experience in inventory control and coordination of facility, vehicle, equipment, or range maintenance. The position is overtime eligible and represented by the City of Bend Police Association. This recruitment will not create an eligibility list.

Under general supervision, this class is responsible for safety inventory control, coordination of facility maintenance, vehicles, range, and equipment, and provides logistical support to the Police Department.   Responsible for collaboration and coordination of vendors, suppliers, and contractors within facility and vehicle logistics purview. Complies with safety requirements and actively promotes safe work practices.

This is a standalone classification and is not part of a series.

Distinguish from Police Records & Evidence Specialist:  Police Records & Evidence Program Specialist job class family is responsible for coordinating the safekeeping of property and evidence activities of the department whereas Police Logistics Coordinator supports logistical coordination, maintenance and inventory of Police assets.

Functions, Duties and Responsibilities

  • Responsible for routine, daily logistical operations to include coordination of maintenance and implementation of standard operating procedures, quality assurance standards, policies, goals, objectives, productivity, and workflow.
  • Department liaison for vendors and contractors engaged in building renovation, construction, vehicle equipment installation / modification, and maintenance projects.
  • Partners and coordinates with centralized Facility and Fleet department staff to achieve departmental objectives and goals. Collaborates with vehicle and/or equipment manufacturers, repair shops and parts vendors including warranty repairs and billing. Transports vehicles, equipment or materials to service providers.
  • Maintains appropriate fleet, vehicle and facility maintenance records within electronic management systems.
  • Provides input on the cost of facility maintenance, vehicle maintenance, and construction projects. Prepares and disseminates work orders; prioritizing work as appropriate.
  • Provides updates regarding projects, facilities, vehicles, and operational needs; Prioritizes, requests, maintains and/or tracks relevant work orders or related records.
  • Prioritizes and coordinates the maintenance and repair of the department’s fleet of vehicles including developing daily and monthly preventative maintenance schedules to ensure safe and efficient operation; establishes vehicle availability.
  • Ensures the appropriate quantities of materials and supplies are maintained.
  • Keeps manager and designees accurately informed concerning work progress, including present and potential work problems and suggestions for continuous improvements.
  • Responds to maintenance and/or service calls outside scheduled work hours or in the event of an emergency.
  • Complies with safety requirements of the position and actively promotes safe work practices; aids in resolving potential health and safety hazards in the work environment.
  • In an emergency event or an officially declared State of Emergency, responds as directed to ensure the restoration of essential public services, facilities and infrastructure.
  • Performs other duties of a similar nature or level.

Knowledge, Skills and Qualifications

Skill Profile
The individual in this position is expected to possess and exhibit the following knowledge, skills, and abilities.

  • Working knowledge of Fleet maintenance principles and practices and safety principles related to law enforcement fleet management.
  • Working knowledge of Mechanics and function of emergency equipment set up on a patrol car (light bar, siren, MDT, radio, K9, transport cage, weapons carrier).\
  • Working knowledge of facility construction and maintenance principles and practices.
  • Working knowledge of building systems, including HVAC, plumbing, electrical, access control, and fire alarms.
  • Working knowledge and safely utilizing tools and equipment of the trade as well as safety protocols and practice including, but not limited to, HAZMAT and MSDS.
  • Working independently when needed with minimum direction, while also working as part of a team.
  • Preparing, reading, analyzing and interpreting policy documents, reports, outside directives, and other statements/recommendations supported by statistical data and other documentation.
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisors, vendors/contractors, the general public and other stakeholders sufficient to exchange or convey information to provide and receive work direction.
  • Manage a high volume of tasks at one time, including organizing and prioritizing own work and the work of others; complete projects on time, and work under pressure.
  • Demonstrate a high attention to detail.
  • Maintain working knowledge of software programs such as Microsoft Office including Word, Outlook, Excel and PowerPoint and other interactive computer programs as well as cooperating common office equipment.

Education, Experience, Certifications and/or Licenses

The following are the minimum qualifications for this position.

  • One-year certificate from college or technical school or an equivalent combination of education and experience that provides the required knowledge, skills, and abilities as outlined in this job description.
  • 2 to 3 years’ experience in a similar position and/or performing similar tasks.
  • Highly preferred:
    • 1 year of specialized training in Police safety equipment or relatable specialized training.
  • Current and valid Driver’s license per City policies outlined in the Employee Handbook.
