Website Brightside Animal Center

The Development Associate supports best practices in fundraising, development, donor cultivation and marketing initiatives at BrightSide Animal Center. Responsibilities include assisting with fundraising events, marketing and community outreach.

General Duties

Key functions include:

  • Provide full administrative support of the Assistant Director in all aspects of fundraising, donor cultivation, community outreach and marketing.
  • Ensure the integrity of the donor database by maintaining data accuracy, data entry, reporting and document management in a timely and accurate manner.
  • Play a key role in the planning and execution of fundraising events to include both logistical and administrative support.
  • In collaboration with Assistant Director and Volunteer Assosicate be main point of contact and attend community events.

Responsibilities

Development & Fundraising

  • Inform the Assistant Director when major gifts or bequests are received, when donor problems arise, and when a donor needs to be contacted, according to development plan guidelines.
  • Communicate, in a timely fashion, the need for personalized thank-you letters or calls to major donors.
  • Assist the Executive Director and Assistant Director in cultivating and stewarding donors through mail, phone, personal contact, and events.
  • Support all grant-seeking and grants management duties ranging from identifying funders to ensuring alignment of values to writing proposals, managing grant funds, and preparing progress reports.
  • Ensure all funders receive timely and accurate interim and final reporting as per individual funder protocols and best practices in general.
  • Support the planning, coordination, and implementation of the major annual fundraising event, as well as smaller fundraising, donor cultivation, and special events throughout the year.

Donor & Database Management

  • Ensure that all gifts and pledges are accurately recorded in the donor management database and prepare receipts as required.
  • Produce gift acknowledgement letters for each gift in a timely manner according to development plan guidelines.
  • Develop the use of the database as a sophisticated donor relationship tool as well as a transactional record of donor activity.
  • Provide donor analysis and database reports on an as needed basis to support fundraising and stewardship activities.
  • Process credit card donations in compliance with PCI guidelines, prepare bank deposits, and provide fund reconciliations to the bookkeeper.
  • Prepare donor lists and produce, distribute, and track all donor appeals through mail, email, and social media.

Marketing & Outreach

  • Assist in ensuring that the website is current and is used to effectively market events, animals, and giving opportunities.
  • Assist in preparing social media and online promotions related to fundraising, donor cultivation, and outreach campaigns, special events, and community education.
  • Support consistency in general messaging, branding, and marketing to strategically align with the BrightSide mission, values, and strategic goals.

Administrative

  • Track and report on the results of all fundraising efforts to the Assistant Director.
  • Provide key support in the development and execution of systems for the annual fundraiser, as well as smaller events.
  • Collaborate with the Volunteer Assistant to recruit and supervise volunteers for special events and functions.
  • Assist with desktop publishing/graphic design for the BrightSide e-newsletter, Annual Report, and other fundraising/development materials.Assist with graphic design for marketing and branding, as well as print advertising campaigns that promote BrightSide services and events.
  • Maintain and improve existing relationships with vendors—and develop new vendor relationships as needed to support the organization’s needs.
  • Receive and respond to email or phone inquiries from donors, event guests, or members of the public.
  • Perform other duties as required.

Requirements

  • Ability and willingness to regularly work at events on weekends and in the evening.
  • Previous experience in grant writing, fundraising, social media, graphic design, or marketing will be preferred.
  • Education: Must possess a high school diploma or equivalent. College or associate degree strongly preferred.
  • Physical ability to:
    • Walk and/or stand on your feet throughout a normal workday.
    • Engage in repetitive motions of legs, arms, and hands, to hear, and to see.
    • Lift and move objects up to 50 pounds and bend or stand as necessary.
  • Valid Oregon Driver’s License: Attaining (or possession of) a valid Oregon Driver’s License within 30 days of start of employment is a requirement for continued employment. Maintaining a satisfactory driving record and valid Oregon Driver’s License are ongoing conditions of employment.
  • Location: Residence in or relocation to the BrightSide service area in Central Oregon.
  • Computer proficient with Microsoft Suite and Adobe Creative Suite; ability to learn new programs as required. Internet savvy. Experience with donor management software is a bonus but not required.
  • Additional computer training or certification will be an asset.

Working Conditions

Work may be performed in noisy conditions with humans and animals. You may be exposed to animal fur/dander and other allergens. This position requires driving, sitting for long periods of time, computer work, writing, and filing. You must have the physical and mental ability to safely perform the full range of duties of the position without creating a hazard to self or others. Nature of Employment

PART-TIME POSITION with about 20 hours per week. Daily hours and days of the week may vary according to the needs of the department. May include weekends, nights, and holidays. May require some overtime. This position reports to the Assistant Director.

Compensation

Pay range $17-$18 an hour.
