Role Description
The Rental Services Manager at Brasada builds relationships with our cabin owners and keeps them informed of all updates and changes in an organized and professional structure. Our Rental Services Manager will be responsible for working collaboratively with the Hotel General Manager and all other stake holders within both the resort and the rental management program to ensure continued success.
To be successful in this position, you must be detail oriented and be comfortable with complex reports and processes. This position will be in a setting with firm and clear deadlines. You must manage your time flawlessly to ensure that all necessary processes within the rental management program are running smoothly. You have the sensitivity needed to deliver news that can be unfavorable at times while maintaining courtesy and professionalism. You thrive in a setting where you have the opportunity to work with many individuals and personalities and build strong relationships with each.
General Responsibilities
- The Rental Manager will be responsible for daily/monthly and annual management of cabins in the rental management program.
- Communicate with individual cabin owners in a warm and professional manner.
- Answer cabin owner’s questions in a timely manner.
- Work closely with Housekeeping personnel to maintain the rental standards for cabin cleanliness.
- Meet weekly with Maintenance personnel to receive updates on ongoing and new repairs for cabins within the rental program.
- Work with Maintenance personnel on all of the options for repair vs. replacement. Provides detailed breakdowns of all options to cabin owners.
- Weekly/monthly supervision of rental revenues and the fair rotations of revenues between cabins.
- Update Revenue Rotation report and ensure equitable revenue distribution among owners.
- Manages all owner reservations from initial communication from Cabin/Residential Owner, making the reservation and communicating confirmation with the owner.
- Works with Real Estate to communicate cabin reservations on the books.
- Provide Real Estate individual cabin revenue history, averages and analysis of the information.
- Complete Rental Management month end accounting procedures and produces rental statements to accounting, meeting the monthly deadline.
- Inventory and stocking of all cabin items. Responsible for placing orders when appropriate.
- Oversees tracking of third-party/short-term rental reservations; includes managing entry of guest information, ensuring the timely and accurate billing of day use fees, and working with Club Membership to respond to inquiries from owners and/or their property managers.
- Create a PAR structure for back stock inventory.
- Manage annual AMI and deep cleaning schedule. Ensures that the housekeeping and maintenance checklist remain current with expected standards.
- Work in conjunction with NV project management to ensure the brand standards are upheld in all cabin units.
- Works with NV project management to create and execute phased renovation plans.
- Ensure Rental Management month end procedures are completed accurately and housekeeping and maintenance departments are informed of any issues with their departmental reports in a timely manner.
- Update and maintain each cabins FFE statement.
- Regular inspections completed of cabins prior to owner arrivals to ensure cleanliness and maintenance standards.
- Initiate drafts of quarterly cabin communications, to be approved by Hotel General Manager and MD.
- Work closely with NVPS team on cabin owner revenue distribution, reservation accuracy, etc. and ensure all Brasada standards are being followed appropriately.
- Perform additional responsibilities and duties as assigned.
Skills/Traits:
- 2 years’ experience in a same/similar position preferred.
- Previous guest service and reservations experience preferred.
- Excellent written and oral communication skills required.
- Ability to communicate disagreeable information.
- Positive interpersonal skills required.
- Must have organizational skills.
- Excellent computer and typing skills are required. Excel and Word proficiency required.
