The Human Resource & Accounting Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s Human Resources and Accounting Departments. Also functions as Primary Payroll Technician responsible for the accurate processing of bi-weekly payroll using HRIS.

 Supervisory Responsibilities:

Does not oversee other employees. 

Duties/Responsibilities:

  • Performs a variety of clerical functions to assist HR Director and Administrator in accomplishing day-to-day operations of Human Resources and Accounting Departments.
  • Manages recruiting and onboarding process for new and re-hired employees and assists department managers with new hire orientation process.
  • Assists employee with access and navigation of HRIS.
  • Reviews and maintains files, databases, and/or other documentation in accordance with records retention requirements and procedures.
  • Assists members of the administrative team with employee related items.
  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Responsible for maintaining accurate data in HRIS in accordance with company operating procedures.
  • Completes bi-weekly payroll processing including reconciliation and reporting.
  • Assist with specialty payroll processing and calculation of bonuses, final checks and other non-routine payroll functions.
  • Oversees payroll system for accurate payroll set up for all pay and tax calculations.
  • Reviews payroll tax activity and filings for accuracy.
  • Responsible for yearly processing of employee W2’s and 1095C’s.
  • Preforms additional Human Resource and Payroll tasks as assigned.
  • Responsible for the safeguarding of all corporate records in his/her charge.
  • Tactfully handles difficult situations with staff while remaining positive and professional; when needed, escalates issues to the appropriate staff member.
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, professional licensure, or other required or voluntary certifications.
  • Processes required leave paperwork and tracks LOA according to established processes.
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the Human Resources Director.
  • Assists with documenting and establishing Human Resources, Accounting and Payroll Standard Operating Procedures (SOP).
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Completes monthly benefit reconciliation and payment request process.
  • Assist with annual benefit open enrollment and year end tasks.
  • Prepares Asset Purchase Questionnaire for all capital purchases.
  • Performs general accounting functions as assigned.
  • Prepares and reviews accounting reports.
  • Reviews accounts payable transactions for accuracy and investigates items as necessary.
  • Assists administrator in case costing initiatives.
  • Provides data and compiles information related to clinical hours per case and FTE calculations as requested.
  • Prepares check request for payables as required for processing.
  • Get approval signatures on payables when required.
  • Scans daily deposit to bank and posts to cash management system. Completes in person bank deposits when required.
  • Balancing of daily deposit to HST payment posting.
  • Reviews monthly physician distribution for accuracy and coordinates and approves monthly physician distributions with external CPA firm.
  • Assist physicians with obtaining accounting related information.
  • Reviews and analyzes monthly financials identifying variances to budget.
  • Recognizes and defines problems, collects data, establishes facts, draws valid conclusions and corrects errors.
  • Takes an active role in making enhancements to processes with a focus on facilitating improved efficiency and accuracy.
  • Follows all policies and procedures, including, but not limited to, attendance, timeliness, safeguarding confidential information, PHI and HIPAA protections of patient and employee information.
  • Performs other duties as assigned.

Education and Experience:

  • Bachelor’s degree in business administration, Accounting, Human Resources or related field preferred.
  • At least two years of human resource and payroll experience required.
  • At least two years of accounting experience required.
  • Proficiency in ADP Workforce Now required.
  • Healthcare industry experience preferred.
