Job Summary:

Executive Assistants primary responsibility is to provide administrative and clerical support to the Center Administrator.  In addition, the Executive Assistant will provide clerical support to managers, other employees, physicians, and visitors to assist in meeting the company initiatives. In addition, the Executive Assistant will provide clerical support to managers, other employees, physicians, and visitors to assist in meeting the company initiatives.    Also acts as the primary person responsible for physician credentialing.

Supervisory Responsibilities:

  • Does not oversee other employees.

Duties/Responsibilities:

  • Performs a variety of clerical functions to assist in planning, organizing, implementing, and accomplishing day-to-day functions and goals.
  • Responsible for tracking physician credentialing and physician onboarding process.
  • Acts as the main point person for RQI (Resuscitation Quality Improvement Program) and ensures staff certification compliance.
  • Sits on the Culture Club and handles administrative tasks to support the club.
  • Manages and coordinates lunches and special events for staff and/or Board of Directors.
  • Handles office tasks, such as filing, generating reports and presentations, transcribing minutes, setting up for meetings and ordering supplies.
  • Receives and screens incoming calls, answers routine inquiries, and routes calls to appropriate individual in a courteous and efficient manner.
  • Responds to requests for information and appropriately releases information based on policy, ensuring customer requests and work assignments are prioritized and completed correctly and efficiently.
  • Provides real-time scheduling support by booking or confirming appointments and preventing conflicts.
  • Types memos, correspondence, forms, reports, and other documents using professional business writing standards
  • Receives, prepares, sends, sorts, and distributes mail
  • Makes travel arrangements such as booking flights, cars and making hotel and restaurant reservations.
  • Provides support for meetings including preparing agendas, reserving rooms, sending appointments, coordinating catering, and recording and distributing minutes. Sets up and trouble shoots phone, video, and web conferencing
  • Investigates assigned topics including research, data, and information requirements as well as analysis techniques and reports information as appropriate
  • Tactfully handles difficult situations with staff and Physicians while remaining positive and professional; when needed, escalates issues to the appropriate staff member
  • Follows all rules and regulations for PHI and HIPAA protections of patient information
  • Follows all policies and procedures, including, but not limited to, attendance, timeliness, and safeguarding confidential information
  • Performs other duties as assigned

  • Proficient with Microsoft Office Suite and related products.
  • Excellent verbal and written communication skills 

Education and experience:

  • High School diploma or equivalent required.
  • Prior administrative experience required; preference given to experience in related field.
  • Prior healthcare credentialing preferred.
