Position Overview

The Roundhouse Foundation is currently seeking a Grant Finance & Data Specialist. This position provides support to the Senior Finance Director by providing bookkeeping for the Foundation’s grantmaking process. It will support, implement and maintain the materials required to process all grant payments for the Foundation.  In addition, this position will assist with providing programmatic and administrative support relating to the Foundation’s grantmaking. The Grants Finance & Data Specialist will report to the Grants Manager and Sr. Finance Director and will work cooperatively with all other Foundation staff. 

This position will manage the coordination and maintenance of the grant accounting process and support the management of the Roundhouse Foundation online grants database. The successful candidate will have relevant bookkeeping, data tracking and software expertise, work effectively independently and across multiple teams, and have excellent organizational skills.  The selected candidate will also have the ability to multi-task and a ‘can-do’ attitude to ensure all projects are complete and accurate records are kept.

This position also serves as a grants support team member and will need to have a clear and positive communication style when working with both internal and external partners.    

The position is based in Sisters, Oregon and offers no remote work.

Essential Functions

Manage the coordination, implementation and maintenance of the grant accounting process, including the following: 
Preparing and tracking payments through RHF online software program(s). 
Ensure finance paperwork and electronic funds transfer documents are complete and secure. 
Preparing grant award letters and ensuring payments are completed with appropriate staff members.
Generating database and budget reports as needed.
Supporting quarterly strategy-budget reconciliation.
Occasionally assist applicants with guidance for applications and follow-up paperwork.  
Assist with Grant Info Sessions. 
Assist Grants Manager with ensuring due diligence materials are received and in compliance with IRS and relevant RHF policies.
Assist in reviewing all applications for completeness and eligibility. 
Collect missing requirement information.
Attend regular meetings and collaborate on special projects and other grants-related functions. 
Assist the Grants Manager with data system management, including the following:
Providing data entry support for data integrity projects.
Providing database technical support and troubleshooting assistance to staff and grantees.
Ensuring the grants management database is accurate and meets legal and audit requirements, as well as the reporting and technology needs of the organization.
Developing an increasingly sophisticated knowledge of the grants management software. 
Work with Grants Manager to refine grantmaking processes.
Assist with producing relevant reports for the staff and trustees to manage and assist in the grant making process.
Develop a thorough understanding of Roundhouse Foundation’s grantmaking and operational procedures, policies and protocols.
Maintain a high level of professionalism and confidentiality when handling sensitive organizational and financial information.
Other duties as assigned.
Minimum qualifications

A successful candidate will demonstrate a minimum of 4-6 years experience in each of the functional areas listed above. Additionally, they will embody the following personality traits and personal profile:

Associate’s degree or equivalent experience in accounting, or systems or database management
High-level proficiency in Quickbooks, Microsoft Office programs; Google Suite and Database management (Foundant, Docusign preferred).
Exceptional organization skills and accurate attention to detail, including the ability to prioritize work effectively and manage multiple, time-sensitive demands. 
Exceptional interpersonal and relationship-building skills; with a cooperative attitude and ability to provide excellent customer service. 
Excellent communication skills; both verbal and written. 
Ability to interact respectfully with people of diverse backgrounds, perspectives, and cultures. 
Ability to work independently and be self-motivated as well as the ability to function as part of a team. 
A critical thinker, natural networker with problem solving skills and an inquisitive nature.
Personal qualities of honesty, transparency, integrity, credibility, and a commitment to and passion for Roundhouse Foundation’s mission and vision.
Ability to reach out as a representative of Roundhouse Foundation within communities throughout rural and remote Oregon.

Desired qualifications

Lived rural experience.
Understanding of Indigenous cultures and Inter-Tribal relationships across the Pacific Northwest. 
Relationships with nonprofits in rural Oregon.
Multi-lingual; Spanish is preferred. 

Physical Demands/Work Environment/Travel

Roundhouse Foundation is based in Sisters, Oregon and this position is located at the office with no remote work opportunities available. Additional travel for grant partner meetings, conferences, and site visits may be required, as necessary to carry out the responsibilities and duties of the position.  Anticipated travel requirements are 5-10%.  While performing the duties of this position, the employee is required to spend extended periods of time at a computer and to communicate via phone, video conference, and email.

Compensation
The Grant Finance & Data Specialist position is an exempt employee position.  Position compensation is $65,000-80,000 annually commensurate with experience. Roundhouse Foundation provides group health insurance coverage (medical, dental, vision) including medical transport insurance and a 401K for eligible employees working an average of at least 30 hours per week, subject to the terms of the health insurance plan.

Background check & Drug Testing

We are a community-centered organization, and all of our staff conduct significant outreach to schools, social service centers, and other partner organizations. In addition, our facility (which houses both Roundhouse Foundation main offices and Pine Meadow Ranch Center for Arts & Agriculture) is a drug-free workplace. PMRCAA is a working ranch with safety-sensitive positions that would be dangerous if performed under the influence of drugs or alcohol. Roundhouse Foundation requires all new staff members to satisfactorily pass a background check, driving record check and pre-employment drug screen for the safety of employees, community partners and visitors.  Therefore, employment is contingent upon successful completion of a pre-employment drug screen, background and driving record check.  All employees may be subject to reasonable suspicion drug and alcohol testing.
