Job Summary
The Assistant Property Manager plays a key role in supporting the day-to-day management of commercial properties owned or managed by TB Bend LLC. This position works closely with the Property Manager to oversee tenant relations, financial tracking, maintenance coordination, and administrative processes that ensure properties operate efficiently and maintain high standards.
This role will help the PM in management of all commercial properties owned, in whole or in part, by TBB. Additionally, the position requires assisting in management services provided to owner associations under management by TBB. These may include maintaining accurate records, coordinating vendors and contractors, and ensuring tenants receive responsive, high-quality service.
The ideal candidate is highly organized, customer-service oriented, and capable of managing multiple priorities while maintaining strong relationships with tenants, contractors, and internal stakeholders.
This role reports to the Property Manager and is based in the Bend office Monday through Friday, 8:00 a.m. – 5:00 p.m.
Responsibilities
Property Management Support
- Assist with day-to-day management of commercial properties owned or managed by TBB.
- Maintain property management records including financials, tenant files, lease documentation, and maintenance activities.
- Coordinate maintenance and repair activities with contractors, vendors, and subcontractors to ensure properties meet operational standards.
- Support annual CAM reconciliations and assist with financial record keeping.
- Work within property management software systems (including AppFolio) to ensure accurate reporting and documentation.
- Maintain positive and responsive relationships with tenants to support long-term tenant retention.
- Receive and record rental payments and identify deficiencies or receivable balances.
- Coordinate vendor payments and assist with accounts payable processes.
- Maintain tenant lease records, insurance documentation, and compliance with lease requirements.
- Arrange maintenance and repairs to ensure properties remain safe, functional, and well maintained.
- Assist with collections on receivable accounts when needed.
- Work with contractors and vendors to secure cost-effective solutions for property repairs, supplies, and maintenance.
- Follow property maintenance policies and operational standards.
- Support development of annual capital project budgets with the Property Manager.
- Assist in developing and maintaining systems and procedures for property maintenance.
- Work with the development team to transition newly constructed properties into active property management operations.
Association Management Support
- Assist with property inspections to identify maintenance needs and repair requirements.
- Support coordination of association board meetings and annual owner meetings.
- Work with accounting to support financial reporting and budget preparation for associations.
Vacant Land Maintenance
- Assist in overseeing the maintenance and monitoring of vacant or undeveloped land owned by TB Bend LLC.
Relationship Management
- Maintain productive working relationships with contractors, subcontractors, government officials, and builders.
- Communicate effectively with internal team members, tenants, and external partners.
Additional Responsibilities
- Perform other duties as assigned by the Property Manager
- Support time-sensitive projects and help manage situations that require quick response or problem solving.
- Some evening and weekend responses may be needed
Required Qualifications
- 1–2 years of property management experience, preferably within office, retail, or medical commercial real estate.
- Basic accounting experience such as accounts payable or financial tracking and some experience using Microsoft Excel.
- Strong computer proficiency and ability to work within property management systems such as AppFolio.
- Strong organizational and multitasking abilities with the ability to manage time-sensitive projects.
- Excellent communication skills and a strong customer-service mindset.
- Ability to maintain responsive communication with tenants and internal teams.
- A valid driver’s license and ability to drive throughout the Central Oregon region.
- Highly responsive and reliable.
- Empathetic and service-oriented, with a commitment to providing exceptional tenant support.
- Organized and detail-oriented with strong follow-through.
- Comfortable managing competing priorities and handling stressful or time-sensitive situations.
Preferred Qualifications
- Bachelor’s degree in business, real estate, or a related field
- APM (Assistant Property Manager) certification from IREM
- Knowledge of land development, building construction, and owner relations
