Aspire Physical Therapy is a specialty outpatient clinic offering pelvic floor physical therapy, concussion rehab, and orthopedic care. We’re a small, passionate team dedicated to helping patients feel better, move better, and live better—and we’re looking for an energetic, detail-oriented Front Office Coordinator to join us!

What You’ll Do

  • Welcome every patient with warmth and professionalism—creating a positive first impression that sets the tone for their visit.
  • Schedule appointments, manage phone calls, and communicate with provider offices.
  • Check patients in/out, collect copays and balances, and ensure all paperwork is complete and accurate.
  • Manage cancellations and reschedules; actively work the waitlist to get patients access to care sooner and ensure the schedule stays full.
  • Verify insurance benefits, submit authorizations, and assist with billing communication.
  • Support clinic operations by staying one step ahead—anticipating needs, solving small problems before they become big ones, and taking initiative to keep the day running smoothly.
  • Uphold confidentiality and maintain an organized, efficient front office space.

What We’re Looking For

  • Excellent communication and customer service skills—you genuinely enjoy helping people.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Confident using computers and learning new systems (experience with scheduling or EMR software a plus).
  • Self-motivated and dependable—able to take direction and also think proactively about what needs to be done next.
  • Previous experience in medical reception, administrative support, or customer service/sales preferred.
  • High school diploma or equivalent required.
