REPORTS TO:          Finance & Operations Director

LOCATION:              Bend, Oregon

CLASSIFICATION: FLSA Non-Exempt, Part-time (20 – 24 hours per week)

POSITION SUMMARY

ONDA’s Administrative Coordinator (“Coordinator”) serves an important role in the overall administrative and operational support of ONDA’s 13-person staff working in offices in Bend and Portland, Oregon. The Coordinator supports ONDA’s business operations and is responsible for day-to-day administrative tasks.

The ideal candidate is someone who values efficiency and who enjoys maintaining, developing, or improving modern business systems and processes to provide the administrative support for effective program delivery. The Coordinator will be well organized, detail-oriented and familiar with current tools and best practices for organizational administration and operations. They will thrive in an environment that embraces a culture of community, problem solving, and continuous learning.

The primary duties include:

  • Meeting coordination: assist with scheduling, logistics, venue and food procurement for internal meetings, board meetings, and other activities.
  • Office operations: order and manage supplies; coordinate with outside vendors for service or repairs; gather and disseminate mail; consolidate and coordinate outgoing mail; assist with keeping the office space clean and organized.
  • Record keeping and filing: maintain organized files and assist with converting paper files to electronic; assist with posting of job announcements and onboarding/offboarding of staff
  • Technology: manage tools and resources, replace and set up computers as needed, troubleshoot technology problems, help to implement and streamline printing solutions both inside and outside of the office.
  • Inventory management: create inventory system for all equipment, devices, and peripherals. Assist in the management of six fleet vehicles including scheduling and coordinating acquisition, service, maintenance and disposal of vehicles.
  • Continually develop and refine systems, procedures and tools as organizational needs and opportunities evolve
  • Special projects, other administrative or operational duties and other support as needed

DESIRED QUALIFICATIONS

The strongest candidates for this position are those who have applicable experience in administration and operational management of a small business or non-profit organization. Initial applicant screening will select for those candidates who meet the following minimum qualifications:

  • A minimum of two years of work experience in general office administration and/or business operations with preference given to experience at a non-profit organization or small business
  • Proficiency with Google Workspace, Microsoft Office (Word, Excel, etc.); and Adobe
  • Ability to handle a wide variety of tasks, projects, and priorities effectively and professionally
  • Excellent verbal and written communication skills
  • The desire to help others and contribute to ONDA’s connectedness and community amongst staff, volunteers, and our member support
  • Some moderate lifting (up to 25lbs) may be required on an occasional basis
  • A valid Oregon Driver’s License

COMPENSATION AND BENEFITS

ONDA offers a fun, interactive work environment with 13 fellow staff and a main office located in Bend, Oregon and a satellite office in Portland, Oregon. The position pays $24.00/hour to $28/hour, depending upon experience. ONDA provides a pro-rated part-time benefits package including medical, dental and vision insurance, flexible spending accounts, match for retirement contributions, paid holidays, paid vacation and paid sick days.

The duties and responsibilities of this position require that the Coordinator conduct their work in-person at ONDA’s Bend office location.
