The Administrative Assistant will take on the responsibility of the associate relations of outlet staff. S/he will act as a liaison between Human Resources and F&B team members. S/he will assist in maintaining the AAA Four Diamond Standards.  The Administrative Assistant will always conduct them self in manner which supports the Core Values of Sunriver Resort: Trust, Commitment, and Open and Honest Communication. Responsibilities

Provides general administrative support to Food & Beverage and Culinary ManagementAnswers phone calls for the Lodge outlets when host/MOD is not availableBook and contract bands and musicians for performances throughout the Lodge Outlets including The Backyard and the Owl’s Nest.Working with group contacts and clients, Book and Contract Special Events including Private Room Dining Communicate with Sales and Conventions teams to ensure their group events in Lodge Food & Beverage spaces are successfully executedAttends weekly resume (groups in house) meeting in person or via TeamsEnsures group bookings are updated in Delphi, 7Shifts, RESY and F&B CalendarOrganize and update group event menus Review final billing for group events and edit if necessaryCreates Purchase Orders and Check Requests through Birchstreet including Expense Reports Responsible for processing payroll and monitoring time corrections for all Lodge Food & Beverage Outlets in UKG Thorough knowledge and understanding of Predictive Schedule to ensure departmental complianceMonitors and ensures proper compliance with tip claiming sheets and minor break logsKeeps current and accurate associate manual time sheets for all associatesPicks up paychecks, manages distribution and returns signed documents to payrollEnsures accurate statuses and updates forms as necessary for associates with multi job codesUpkeep of all O.L.C.C. and Food Handlers compliance with F & B associatesOrdering of office suppliesAssists manager with associate onboarding/departure paperworkReports any needed repair in SMS work orderResponsible for the organization of the Meadow’s folder on “V” driveCommunicates all pertinent information to the outlet teams

Qualifications

High school diploma or equivalent requiredAt least one year Food & Beverage experience requiredAt least one year of customer service experience requiredAt least one year of supervisory experience preferredPrior hospitality experience preferred Two or four year degree in hospitality related field preferredAt least six months POS system experience preferredPrior cash handling experience requiredMust be a United States citizen or possess a valid work permitMust be at least 21 years of age Must have valid driver’s license and meet resort driving standardsMust be able to read, write and speak EnglishMust possess valid OLCC card upon hireMust possess valid Food Handler’s card upon hireMust have excellent computer skillsMust have strong working knowledge of Microsoft Office programsMust have excellent leadership skillsMust be highly detailed orientatedMust be able to work in a fast paced environment Ability to work a flexible schedule that may include evenings, weekends and holidaysMust be able to remain seated for multiple hours.Must be able to occasionally lift and carry up to 25 lbs at shoulder height and push/pull up to 75 lbs
