Responsibilities = The essential actions required of the job.

  • Create a welcoming office environment: opening and closing office, welcoming guests, answering phones, managing conference rooms and schedules, coordinating lunch orders for group meetings, and maintaining common areas
  • Office Operations: Coordinate office equipment maintenance and office supply ordering; coordinate facility maintenance and care, including managing vendor relationships; execute office moves, and troubleshoot basic workstation technology issues (i.e. log a conference room computer into video conference or reboot copy machine).
  • Permit Administration: Communicate effectively with permitting jurisdictions; coordinate right-time scheduling (aligned with starts cadence) for permit submission, processing, status monitoring, course adjustment (if needed), and delivery;
  • Culture Ambassador: Assist with planning and executing office events
  • Run miscellaneous errands, as needed to accomplish responsibilities
  • Performs additional duties as assigned

Requirements = The experience and skills required to do the job.

  • 2+ years of office, administrative, or customer service experience is required
  • Oregon Notary is a preferred
  • Knowledge of MS Office Suite required, and ability to learn new programs quickly
  • Reliable transportation
  • Physical Demands: This position must be able to remain in a stationary position 75% of the time. This person in this position needs to occasionally move about the office to access file cabinets, copiers, scanners, etc. Must be able to maneuver packages or equipment up to 50 pounds with assistance (hand truck or buddy lift). The person in this position constantly operates a computer. This position must be able to frequently communicate with vendors and colleagues via email and phone.
