Provide high level administrative support. Assist with and support various projects as requested by the Department Head and other staff members. Assist with special projects as directed by the EXO. Screen and answer phones for the department; screen and direct calls for all company divisions.

Responsibilities

  • File and process I-9 Employment Eligibility Verification forms. Ensure that all Medline employees have an I-9 form on file.
  • File Employment, Non-Competition, and Shareholder Agreements. Conduct a quarterly audit to ensure that employees whose positions require an Employment Agreement have Agreement on file. Periodically conduct audits as directed by the EXO.
  • Tracks employee time cards along with Flexpool staff.
  • Coordinate the Service Award Program for all Medline facilities. Plan and coordinate quarterly anniversary luncheons for the Corporate Office and ensure that employees receive appropriate gift based length of service.
  • Update the Employee Handbook on an annual basis.
  • Process invoice charges for the HR Department.
  • Maintain the Relocation Log and process related invoices. Coordinate with vendors to provide temporary housing for affected employees
  • Coordinate logistics for college recruiting initiatives (hotel reservations, travel arrangements, etc.). Maintain drug testing results and background screening.

Requirements

Education
  • High school diploma or equivalent.
Relevant Work Experience
  • At least 5 years office administration or office management experience.
  • Human Resources and confidential work place experience.
Additional
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).

Preferred Qualifications

Education
  • Some college or equivalent.
