Centerline Drilling Inc. is seeking a Fleet Coordinator to support and optimize our fleet operations. This position plays a critical role in ensuring our fleet is safe, well-maintained, compliant, and ready to support our projects. You’ll work closely with the General Manager, Shop Manager, and multiple departments to coordinate maintenance, track compliance, and manage day-to-day fleet activities.

Key Responsibilities:

Fleet Maintenance & Tracking:

  • Coordinate scheduled maintenance and repairs based on system alerts and inspection results.
  • Maintain detailed service histories and fleet records for all assets.
  • Manage fleet inventory across tracking systems to ensure accurate and up-to-date information.

Compliance & Reporting:

  • Ensure regulatory certifications, vehicle registrations, and permits are current and accurate.
  • Prepare and submit required reports, including fuel tax filings, mileage reports, and other compliance documentation.
  • Monitor driver safety and compliance using fleet tracking tools.

Administrative Support:

  • Oversee contracts for vehicle rentals, hired hauls, and vendor services.
  • Manage fuel cards, fleet insurance, rental agreements, and fleet documentation.
  • Maintain and update internal records, spreadsheets, and tracking logs.
  • Participate in cross-departmental meetings and communicate fleet updates regularly.

Driver & Dispatch Coordination:

  • Schedule and coordinate truck drivers to ensure timely project support.
  • Arrange hired haul services as needed and prepare related estimates and invoices.

General Fleet Management:

  • Conduct internal fleet appraisals and review fleet-related expenses and invoices.
  • Provide fleet-related reports and daily updates to management.
  • Support emergency fleet needs and respond to urgent issues after hours as required.
  • Develop and maintain operational procedures and fleet reference materials.

Qualifications:

  • Exceptional organizational skills with a strong attention to detail.
  • Ability to follow instructions and take direction effectively.
  • Strong communication skills with a proactive, solution-oriented mindset.
  • Comfortable working in a fast-paced, team-focused environment.
  • Proficient in spreadsheet management and data entry (Excel).
