Position Title:  OFFICE SECRETARY II

Department:

Reports To:     Office Manager and / or Site Administrator

JOB DEFINITION:

Under general supervision, the Secretary II performs a wide variety of clerical work. The Secretary II performs an extensive amount of typing, filing and recording of information. The employee deals directly with student records and other sensitive information. The employee works under the supervision of an office manager and / or administrator.

ESSENTIAL JOB FUNCTIONS

  1. Types and reproduces materials.
  2. Keeps records, charts and graphs.
  3. Assists others in matters of filing, sorting, data collecting and organizing materials.
  4. Assists the office in matters of routine clerical work.
  5. Collects and accounts for monies received
  6. Prepares simple statistical reports.
  7. Answers phones, takes and delivers messages.
  8. Orders, receives, distributes and inventories supplies.
  9. Assists in the preparation of reports.
  10. Performs clerical tasks such as organizing and filing.
  11. Sorts and determines routing of mail.
  12. Serves as an office receptionist.
  13. Enrolls new students and checks for proper compliance with Oregon laws governing entry age and immunization.
  14. Types from handwritten script or oral directions.
  15. Administers first aid to students in the absence of school nurse.
  16. Keeps records (e.g. student attendance).
  17. Maintains student records in compliance with Oregon law.
  18. Fulfills other related duties as assigned.
  19. Fulfills performance standards identified in the evaluation process as required by the position.
  20. Fulfills working conditions and physical effort listed below.

WORKING CONDITIONS:

The Office Secretary II frequently lifts/moves boxes weighing up to 30 pounds and/or maneuvers up to 50 pounds. The employee works under tight, inflexible deadlines. The tasks require extreme accuracy and concentration; the employee works with continual interruptions.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge

  • Modern office practices, procedures and office equipment.
  • Audio visual equipment, office machines and their operation.
  • Filing and record keeping systems.
  • Computer operation and applications.
  • Safety practices.
  • Proper first aid procedures.

Skills and Abilities:

Possess the physical ability to regularly attend work and fulfill the essential functions of the position with or without reasonable accommodation.

  • Read, understand and carry out oral and written instructions.
  • Learn the operation of telephones, computers, and other equipment used in the work, as required by the position.
  • Accurately transfer, record and convey information and materials as required by the position.
  • Communicate clearly and appropriately in speech and in writing in accordance with educational standards.
  • Learn how to deal with bodily fluid spills.
  • Hold a valid first aid card.
  • Adhere to the district requirements for a drug-free workplace.

EDUCATION AND EXPERIENCE:

High school diploma and up to one year of advanced training / experience in the specific job requirements. Comprehensive knowledge of grammar and the ability to use correct speech and compose routine correspondence is required. The position requires the ability to understand technical instructions (computers).

The position requires general knowledge of some technical procedures or work activity. Working knowledge of school district practices or basic policies is necessary. Job proficiency can be acquired in six months to one year.
